Board Secretary (6-10 hours per month)

"SECRETARIAL: • Prepare papers for Board meetings under the instruction of the Board Chair;
• Maintain the Board calendar, including Board meetings, Board Committee meetings, training of Board members, Board visits, workshops, and other activities;
Ensure the Board is well supported with appropriate meeting agendas, minutes, decision registers, delegations, policies, documents, and procedures; •Attend Board meetings to take minutes;
•Record all resolutions, decisions, and action items, following up action items with the appropriate individuals after Board meetings;
•Ensure all documentation is filed appropriately;
•Maintain a full contact list of Board members including Board member appointment dates and Board member bios
•Maintain the Board’s skills register:
•Maintain the Board’s rotation schedule.
GENERAL SUPPORT TO THE BOARD: • Support the Board Chair in the recruitment and induction of trustees;
•Support the Board in their professional development, including arranging visits to services;
•Support the Board Chair with board and GM evaluations.
•Maintain the Board handbook and ensure Trustees are aware of their responsibilities, key governance documents, and relevant processes. ADMINISTRATION: Provide administrative support to the Board Chair and Board members as required, including preparation of correspondence. OTHER: • A safety first culture is actively promoted and demonstrated at all levels.
•Health and safety procedures are adhered to and the Health and Safety in Employment Act complied with.
•Prospective and current hazards are consistently identified and risk factors minimized/eliminated.
•All duties and behavior is conducted in line with DHBCT Policies and Procedures. Flexibility and willingness to perform a variety of tasks is demonstrated.
•Assist other team members within Dementia Hawke’s Bay wherever practical to achieve organisational objectives.
•Other duties that arise from time to time performed as required.
